Publish Workflows user guide

Move posts through production, surface posts you are working on, and gather project assets in one workspace.

Pipeline stages

Default board columns:

draft → in-review → in-number-check → in-copy-edit → publish

draft and publish are WordPress post statuses. The three middle stages are terms in the private workflow-status taxonomy while the post remains a draft. Publishing — from the editor, the Status Board, or a scheduled go-live — clears that term so the post is no longer in a pipeline stage.

In the post editor, open Status & visibility. Click the workflow-status badge to change the stage. On the dashboard, use Status Board to drag cards between columns, or Calendar to browse pipeline and scheduled posts.

Watchers

  1. Open the Watchers panel in the post sidebar.
  2. Use I'm working on this post to include or remove yourself. You are added automatically when you open the post.
  3. Search for WordPress users and add them.
  4. Everyone here is working on this post, so it shows up in their working-on lists, notifications, and other automations.

On multi-section reports, enable Watch child posts to also watch each chapter listed in the report package. Only your own watcher enrollment is mirrored to those chapters — co-watchers on the parent are not copied.

Pipeline notifications are Slack DMs only (no email). On your WordPress profile, use Connect Slack to look up this account by its WordPress email and save prc_slack_user_id. Paste a member ID (U… or W…) only if lookup misses. Slack DMs need that ID.

Status Board and Calendar

The Posts in production dashboard widget lists in-flight posts by stage with links to the board and calendar.

Workspaces

Collect a project's report, quiz, charts, media, and links in one private bucket.

  1. Open Dashboard → Workspaces.
  2. Create a workspace (title and optional description).
  3. Open the detail screen to add items: upload files, paste a URL, search WordPress entities (including synced patterns and template parts), or pick from the media library.
  4. Manage access by adding watchers — they can open the workspace, and it shows up in their working-on lists, notifications, and other automations.
  5. Only the owner or an administrator can delete a workspace.
  6. Under Search content, use the Linear and Asana cards to link one project each. Search by name and pick a project. The card then lists issues or tasks: title (opens Linear or Asana), assignees, due date, and complete or not complete. Linear can show a human assignee and an agent. Unlink to clear the project. If a provider is not configured for this environment, the card says so.

Item row actions include open, view, copy link, and remove. Excel attachments can offer Convert to CSV; CSV attachments can offer Create chart when Chart Builder is available.

Staff agents connected to WordPress MCP can search workspaces (title, description, and collected files) and return both the file link and the workspace link.

Publication checklist

Enabled checks include image alt text on core/image blocks (post and page), About this research, internal links, and paragraph count. The checklist appears in the pre-publish panel and in a Publication Checklist sidebar. Resolve failures in the editor before publish. Other plugins can add checks; this plugin owns the list.

The pre-publish panel also has Publish permission. Only a producer or administrator can turn Ready to publish on for most content. Editors can publish short reads, campaign emails, and transactional emails. Designers can publish charts. Other roles cannot publish from the editor, Status Board, or REST.
